Responsibilities:
- Reporting to the Contract & Procurement Manager;
- Undertake the administrative/clerical support/services related to all contracts, project support services and contract services orders.
- Assist in the development of Procurement and Contracting Procedures.
- Participate in and contributes to the development of project contract strategies and plans;
- Monitor contracts progress and payment status and ensures that appropriate reporting of project contracts status is provided to Project Management and other stakeholders.
- Types a variety of finished documents, maintains computer based and manual office records and files and provides a variety of clerical and administrative support services in the working unit to which he is assigned.
- Types a variety of letters, memos, reports, work schedules, statistical summaries and similar documents from hand-written drafts, prepared copy or oral instructions, devising layouts.
- Summarizes statements and statistics prepared by others;
- Prepares and types requisitions, invoices, expenditure authorizations and similar standard forms.
- Types stencils and reproduces copies of finished work;
- Proofreads completed work and reports and corrects original errors, if any.
- Receives, records and distributes incoming and outgoing correspondence and documents;
- Operates copy machines to reproduce extra copies of documents;
- Translates English and Arabic documents within his linguistic capacity;
- Files copies of correspondence, reports, catalogues and similar documents;
- Responsible for accuracy and adequacy of files assigned to him;
- Obtains and distributes office stationery and supplies;
- Types, reproduces and delivers standard forms used by others in the department or office;
- Answers telephone and receives and relays messages, including incoming requests for services;
- Operates, as required, adding machines and calculators to tabulate or verify statistical data, within his capacity;
- Records and keeps, as required, files and inventory records on tools, equipment and other fixed assets, including records and reports on their maintenance and repair.
- Distributes and gathers, as required, time sheets and prepare time reports and summaries for Supervisor’s review;
- Provides procedural office services for contractors and their employees, such as recording time and materials charges and issuing gate passes former, materials and vehicles.
- Provides secretarial services such as making appointments, relaying messages, attending guests and visitors, and arranging transportation, etc. for office personnel.
- Provide contract administration and report development;
- Maintain an auditable contracts file system;
Requirements:
- Candidates must have a diploma/degree or equivalent in Business Administration/Commerce from accredited university;
- Minimum of five (5) years Contracts Administration Services of relevant experience in the industrial projects;
- Experience on large-scale oil and gas and petrochemical capital projects preferred;
- Demonstrated knowledge of contracting practices and principles applied by major oil and gas companies;
- Demonstrated ability to lead contractual/commercial activities to preserve owner/client interests;
- Ability to work within a diverse cultural environment;
- 10 Full-Time and Contract position available.
